File names

Follow these rules when you name files.

Do:

  • Think about SEO and which keywords best describe the document
  • Use lower case for all file types:
    • anotherfile.htm
    • onemorefile.pdf
  • Use only alpha numeric characters and hyphens
    • a to z and 1 to 9 and -
  • Use a descriptive name:
    • contactus.htm
    • contact-us.htm
    • annualreport0304.pdf
    • liveissues.htm

Do not:

  • Do not use capitals
  • Do not use special characters:
    • *,./?"!<>:;@'~#}]{[+=_)(&^%$£\|
  • Do not use spaces
  • Do not use more than 18 characters
  • Do not change existing file names without very good reason, discuss first with team leader.
  • Do not name files like these examples :
    • contact us.htm
    • contact_us.htm
    • ContactUs.htm
    • contactHSE.htm

 

The rules for naming directories are the same as for files.

Who allocates the file and directory names?

The web designer normally does this, not the author. Authors can ask the designer for advice if they need a specific file name. File names should be agreed with the web developer well in advance if the web document is to be published as part of a high profile event.

Please note: If you quote a URL in an external communication, make sure you give out the correct information. File and directory names cannot be changed at this late stage.
